The privacy statement of ShopEZ is designed to provide merchants with information about the collection and use of their data. ShopEZ is a cloud-based Enterprise Resource Planning (ERP) system that specifically configured for SHOPLINE scenarios, using technology from Odoo Enterprise.

• ShopEZ: Marketing name of product and/or service designs, configures or/and customizes based technology of Odoo Enterprise
• Odoo Enterprise: an all-in-one business management software that streamlines business operations and improve productivity.
• Enterprise Resource Planning (ERP) system: A software system that integrates and manages various business processes, such as inventory and order management, accounting, and human resources.
• Cloud-based: Refers to a technology or service that is accessed over the internet and stored on remote servers rather than on a local computer or server.
• Microsoft Azure: A cloud computing service provided by Microsoft.
• Data: information possessed by merchants including but not limited to Personal Data of merchants or the clients of merchants, transaction data, supplier data
• Personal information: Any information that can be used to identify an individual, such as name, address, phone number, or email address.
• Capsuite: The company designs, configures or/and customizes ShopEZ which is based technology of Odoo
• Business engagement process: Refers to the process of engaging with a business, such as signing up for a service or purchasing a product.
• Data ownership: The legal right to control and use the data.
• Access rights: The permissions granted to users to access certain data or systems.
• User rights: The permissions granted to users to perform certain actions within a system or application.
• Licensed users: Users who have been granted permission to use a system or application.
• Administrators: Users who have the authority to manage and control a system or application.
• Data connector: A software component that facilitates the exchange of data between different systems or applications.

Capsuite, the company behind ShopEZ, is committed to protecting the personal and sensitive data of merchants throughout the business engagement process. During the activation and adoption process, Capsuite will process the necessary business data required to activate the service of ShopEZ, including personal information (such as name and contact numbers) and business data (such as client names, contact numbers, supplier names, and invoices). All of this data will be used solely to support the functionality and usability of ShopEZ for merchants, and none of it will be retained by Capsuite after the activation process.

The following details outline how Capsuite processes and uses merchant data,

Data Collection

• The contact information of merchants provided is used solely for the engagement and consultation of ShopEZ. All personal data will be removed after 6 months, regardless of whether the engagement is successful or not.
• There are several mandatory pieces of information that must be synchronized from SHOPLINE to ShopEZ, including but not limited to sales orders, payment status, items, and customer information. ShopEZ serves as a data connector to facilitate information exchange only, and no data will be collected or retained by Capsuite.

Data Access and Ownership

• Merchants own all of the data in the system and possess access rights to the data. Capsuite will not access stored data unless access rights are granted by merchants to carry out required services.

User Rights

• Only licensed users are allowed access to ShopEZ.
• There are two types of licensed users in ShopEZ: Users and Administrators. Administrators have the right to define access rights for Users.

Data Security

• ShopEZ is hosted on Microsoft Azure, and the security and compliance statement can be found at https://privacy.microsoft.com/en-gb/privacystatement.

Data Retention

• The ShopEZ application and all merchant data will be stored in Microsoft Azure, with full ownership and access granted to merchants during active subscription periods.
• All data will be removed within 30 days after the termination of a subscription by merchants.
• Merchants are required to back up their data within the data retention period i.e. active subscription periods.
